Audio Visual / Equipment

A wide variety of audio-visual equipment is available which can enhance your meeting needs. There is no equipment rental assessed for ASU departments and on-campus registered student organizations. Equipment orders may be added or changed prior to three full working days of the event based on availability. With less than three full working days notice, a $15 per request fee will be assessed.

Category 1 and II are only subject to an AV and equipment fee if event guests are being charged to attend the event.
Category III and IV are subject to all AV and equipment fees.

AV equipment is intended for use within the Student Union and Student Union Annex. The Renter is responsible for any damage to the equipment.

Laptop Checkout Guidelines

If you require a laptop for your event, please contact the Information Technology Help Desk at 480-727-1118.

Information Technology department provides a variety of AV equipment and laptops that can be checked out for short-term use. The following guidelines are meant to insure that equipment is available when needed.

  • laptops are to be used for instructional purposes first; all other uses are secondary.
  • Availability of equipment is not guaranteed.
  • laptops are to be checked out by ASU faculty and staff. Checkouts can be made to graduate students with faculty/staff approval.
  • Checkouts are done on daily basis. Equipment can be checked out during the Computing Commons hours of operation and are to be returned on the same day by 9:00 p.m. (excluding Fridays, equipment to be returned by 5:00 p.m. on Friday). Overnight checkout is subject to approval. Please contact Shahin Rezai at 7-1447 for overnight checkouts.
  • Repeated abuse of the system will result in cancellation of checkout privileges.
  • IT does not set up equipment. Please allow sufficient time when picking up to be trained on equipment usage. If you are having trouble using IT equipment, please contact the helpdesk.

Rental Policy for Tables and Chairs outside the Student Union and Student Union Annex
The Student Union has equipment available to checkout for events you may have outside the Student Union or Student Union Annex. Equipment is available to those who complete the Equipment Request Form one week prior to the event. The Renter is responsible for picking up and returning equipment, and failure to return equipment at the pre-appointed date/time may result in additional charges. The renter assumes sole financial responsibility if equipment is damaged, lost, or stolen.
