Reserving Space

The Student Union serves as the primary meeting space for student orgs, campus departments and at limited times of the year, organizations and, businesses from the larger community.

To secure a reservation, please complete our online web form.

If your event requires a special set up style other than the standard setup styles (square, theater, banquet, u-shaped, classroom), please use The Space Diagrams to draw a diagram for setting up for your event. This form may only be used for the Eldon W. & Elona P. Cooley Ballrooms.

Your reservation will be processed with in 2 business days of your request. A confirmation will be provided when your reservation has been approved and verified. Late requests for changes, cancellations, additional rooms and equipment submitted less than 2 business days before the event may be assessed a fee.

ASU reserves the right to reassign your room location based on need and availability.

Who Can Request a Room
The following categories may schedule weekly meetings or events within the academic year. Reservations may not be made more than one year in advance. In order to provide enough space for the entire community, the Student Union recommends that student organizations use no more than two meeting rooms per week.

Category I: ASU Colleges , Schools, Academic Units, Departments, Housing and Registered Student Orgs
Category II:Colleges, Schools, Academic Units, Departments and Registered Student Organizations within the Arizona University System ( i.e, NAU and U of A).

These categories may schedule meeting space during the following times:

Category III: Not for Profit 501 (c) Non-University Organizations
Category IV: All others

January: Winter Break - December 14 (Wed.) - January 16 (Mon.)
March: Spring Break - March 12 (Sun.) - March 18 (Sat.)
May: After Graduation - May 12 (Fri.) - May 25 (Thurs.)
June: Entire Month
July: Entire Month
August: Before classes start - August 7 (Sun.) - August 20 (Sat.)
December: Last Two Weeks
All weekends : Friday after 5pm, Saturday and Sunday 

Priority is given to on-campus groups for room reservations.

Parking and Transit Services:
Parking & Transit Services at Arizona State University's Polytechnic campus is dedicated to providing efficient and responsive service to faculty, staff, students and visitors to campus in order to facilitate safe and orderly vehicle parking on the Polytechnic campus.
